Why We Use CoachAccountable for Business Coaching (And You Get It Too)

There’s a pattern that shows up in almost every conversation about business coaching. The client has tried it before. The sessions were good, energising, clarifying, useful. But somewhere between the sessions and the results, something didn’t translate. Life got in the way. The actions agreed at the end of the call stayed on a sticky note or in a notebook that didn’t get opened again until the next session.

At Waggle Dance, we built our coaching practice around solving that specific problem. Good conversations aren’t enough on their own. What produces change is the work that happens between sessions, and for that work to happen consistently, it needs to be structured, visible, and shared. That’s why every client who works with us gets access to CoachAccountable as a core part of the engagement.

Why Is Accountability Between Sessions So Important?

Most coaching value isn’t created during the session. It’s created in the days and weeks between sessions, when insights are tested, decisions are made, and habits start to form. A coaching relationship without structured accountability between calls is like a gym membership without ever going to the gym; the potential is there, but the structure that makes it real isn’t.

The Problem With Most Business Coaching

Most coaching conversations are genuinely useful in the room. You leave feeling clearer, more focused, with a real sense of what needs to happen next. And then a busy week hits. The email backlog, the client issue, the team thing. The actions you agreed get pushed back, then further back, until the next session arrives and you realise you’re covering some of the same ground again.

That’s not a failure of commitment. It’s a failure of infrastructure. Most coaching relationships don’t have the right structure between sessions to support the work actually getting done. The insights are there. The intention is there. But without something that keeps commitments visible and creates a gentle thread of accountability, the gap between the conversation and the change stays wide.

What This Looks Like in Practice

One of our clients, a founder of a growing professional services business, described their previous coaching experience as “having great conversations that didn’t seem to add up to much.” The sessions were good. The thinking was useful. But nothing was being captured, tracked, or followed through in a systematic way.

Within the first month of working with us using CoachAccountable, they described the difference clearly: “I can actually see what I said I’d do. And I can see whether I did it. That sounds obvious, but it changes everything.” The coaching hadn’t become more profound. It had become more accountable, and that accountability was what turned the conversations into action.

What Is CoachAccountable?

A Shared Workspace for the Coaching Relationship

CoachAccountable is a dedicated coaching platform, not a generic project management tool or a repurposed CRM, but software built specifically around how a coaching relationship works. It creates a shared digital workspace between coach and client where everything related to the engagement lives: goals, actions, session notes, check-ins, progress, and metrics.

Think of it less as a piece of software and more as the connective tissue between sessions. The thing that makes sure the work agreed on a Tuesday call doesn’t disappear into the week, and that the next session starts from a place of genuine shared context rather than having to reconstruct what was discussed last time.

What We Use It For

Here’s how CoachAccountable fits into the way we work with every client:

•       Goal setting and visibility.

At the start of the engagement, we map out your goals, the business outcomes you want to achieve and the timeframe you’re working towards. These stay visible inside CoachAccountable throughout, so they’re never buried in a document from the first session that nobody opens again.

•       Action steps with due dates.

At the end of every session, we agree the specific actions you’re taking before we next speak. Those go into CoachAccountable with a due date. You can mark them off as you go. I can see what’s been done and what hasn’t before our next call, which means we can spend the session on the actual work, not on catching up.

•       Session notes.

Every session has its own notes record: what we discussed, what was decided, what matters next. You can go back and read any session at any point. Three or six months in, being able to see how far you’ve come from where you started is genuinely grounding.

•       Regular check-ins.

Between sessions, CoachAccountable sends a short set of check-in questions, typically weekly or fortnightly. These aren’t assessments. They’re prompts to reflect on how things are going and surface anything worth bringing to the next session before it becomes urgent.

•       Progress and metrics.

If there are specific numbers that matter to your business, revenue, pipeline value, team capacity, conversion rate, we can track those in CoachAccountable alongside the qualitative work. Seeing the numbers move next to the actions that produced them gives a more complete picture of what’s changing and why.

What This Means for You as a Client

You Own the Process

CoachAccountable gives you genuine visibility over your own coaching engagement. You’re not relying on memory or a notebook to know where you are and what you’ve committed to. Everything is there, clearly laid out, accessible whenever you have ten minutes to reflect. That sense of ownership over the process is something clients consistently describe as making the whole engagement feel more real, less like something that happens to you in a session, and more like something you’re actively building between them.

Accountability Without Pressure

Some people hear “accountability” and imagine being chased or judged for what they haven’t done. That’s not how this works. CoachAccountable creates accountability in the sense that nothing gets lost or forgotten, not in the sense of putting you under pressure. If an action doesn’t get done, that’s information worth exploring, not a reason to feel like you’ve failed. Progress is rarely perfectly linear, and the coaching relationship is built to work with that reality rather than against it.

The Coaching Relationship Extends Beyond the Hour

This is the part that makes the biggest difference. When the coaching relationship only exists during the session, the hour of the call is all you have. With CoachAccountable, the relationship, the shared goals, the agreed actions, the check-ins, and the notes run continuously between sessions. The coaching work doesn’t pause when the call ends. It carries on in the structure that surrounds it.

What You Get, Practically Speaking

Access to CoachAccountable is included in every Waggle Dance coaching engagement at no additional cost. You don’t need to set it up yourself. You don’t need technical knowledge to use it. Before our first session, you’ll receive a welcome message inside the platform, and we’ll use our first call to set up your goals and preferred working rhythm together.

What you end up with is a coaching engagement that doesn’t start and stop with the session, one where your goals are always visible, your commitments are tracked, your progress is captured, and the work you’re doing week to week is building towards something concrete. In our experience, that’s the difference between coaching that feels good and coaching that actually changes things.

FAQs

Do I need to pay for CoachAccountable separately?

No. Access to CoachAccountable is included as part of your Waggle Dance coaching engagement. We set it up together at the start and manage it as part of the coaching relationship throughout.

Not at all. It’s designed to stay out of your way. Most clients are comfortable with it within the first session, and if you’re comfortable with email and a web browser you’ll have no trouble. The whole point is that it makes your life easier, not that it creates another thing to manage.

Your session notes, goals, actions, and progress records remain accessible to you. A lot of clients find it genuinely useful to go back through their engagement months or years later, both to see how far they’ve come and to revisit thinking that’s relevant to a new challenge they’re facing.

Check-ins are short, usually five to ten minutes to complete, depending on how much you want to write. They come weekly or fortnightly depending on the structure of your engagement and what suits your working rhythm. They’re prompts to reflect, not admin. The answers feed directly into our next session.

Then that’s exactly what we talk about. Incomplete actions are information, about capacity, priorities, clarity, or resistance, and they’re often more useful to explore than completed ones. The system is there to surface what’s actually happening, not to score you. Progress is rarely linear and the coaching relationship is designed to work with that, not against it.
